Understanding Budget vs. Actual

  • Budget = what the business planned.
  • Actual = what actually occurred.
  • Variance = the difference between the planned and actual result.
  • For expense categories, the workbook is designed so a positive variance generally indicates spending below budget.

What Is a Business Budget?

A business budget is an estimate of the revenue a business expects to earn and the expenses it expects to incur over a specific period. It gives owners a structured way to understand how resources are being allocated, set spending expectations, and measure whether actual results are tracking with the plan. A budget is a planning tool, not a guarantee of future performance.

Why Compare Budget vs. Actual Results?

Comparing planned amounts with actual performance helps you identify differences in sales, operating costs, cost of goods sold, profitability, and overall spending. Those differences — variances — show where the business is outperforming or underperforming its plan so you can adjust pricing, costs, or operations. This spreadsheet is an organizational and educational tool; it is not accounting, tax, legal, or financial advice.

Monthly vs. Annual Business Budgeting

Monitoring finances monthly helps you catch problems early — a slow sales month or an unexpected cost — before they compound. Maintaining an annual view at the same time keeps the full-year picture visible so seasonal patterns and yearly totals stay clear. This template supports both: monthly entries roll up into annual totals automatically.

Understanding Gross Profit and Net Profit

Two key profitability figures appear throughout the workbook:

Gross Profit = Revenue − Cost of Goods Sold
Net Profit = Revenue − COGS − Operating Expenses

Gross profit shows what remains after the direct cost of what you sold. Net profit shows what remains after operating expenses are also deducted. Both are calculated automatically in the template.
